How do I share the definition of MenuItem?

By Numbers file I mean like an excel sheet. Apple's Numbers/Pages/Kenote = Excel/Word/Power Point.
When I mentioned "Numbers" file, I meant an excel sheet where I put all the detailed info about the plants.
Where do you upload that excel sheet in the app?
